Patient Charter
Your rights and responsibilities as a patient.
Updated 20 May 2025
At Kinvara Private Hospital, we pride ourselves on providing our patients with the best available care. This Charter outlines what you can expect from us, what we ask of you, and how to raise concerns if needed. Our aim is to make your stay as comfortable and positive as possible.
Your Rights to Quality Care
Choice and Information
- You are entitled to receive appropriate and timely medical care that is in your best interests.
- You have the right to access care in a safe and secure environment free from discrimination of any kind.
- All Consultants providing services at Kinvara Private Hospital are independent medical practitioners and not employees of the hospital. Your clinical agreement is directly with them, while the hospital supplies the facilities and administrative support for your treatment.
Treatment Information
- Your Consultant should give you a clear explanation of your diagnosis, your treatment (and any associated risks), and other treatment options available.
- Your Consultant should obtain your consent prior to any treatment.
Financial Information
If you are paying for your treatment (self-pay), you will receive detailed written information about all costs before treatment, including:
- A non-refundable Booking Fee of £500 to secure your treatment date (credited towards the total cost of your treatment)
- The Balance is payable in full by the Balance Due Date, being four weeks before your treatment date
- Additional expenses that may arise during your care
Cancellation Policies
Our cancellation charges reflect a genuine pre-estimate of the costs we commit in advance of your treatment date (theatre, Consultant, anaesthetist, nursing, pre-ordered implants and consumables). They are calculated on the Balance only — the Booking Fee is non-refundable in all cases.
- 14 calendar days or more before treatment: no cancellation charge; the Booking Fee is retained.
- 7 to 14 calendar days (inclusive) before treatment: 50% of the agreed treatment cost.
- Fewer than 7 calendar days before treatment, or non-attendance: 100% of the agreed treatment cost.
- Medical cancellation: full refund less a £250 administration fee, on receipt of supporting medical evidence (such as a medical certificate or hospital letter).
See our Terms and Conditions for full detail, including the cooling-off period for remote bookings and our policy on postponement.
If you are using private health insurance, you must obtain approval from your provider prior to treatment. You remain responsible for any costs not covered by your insurance, including gaps, excesses, or co-payments.
Treatment Packages
Our self-pay packages typically include Consultant fees, anaesthetist fees, nursing care, standard medications during your stay, post-operative supplies, and up to six months of follow-up care.
Packages do not include your initial consultation fee, diagnostic tests prior to treatment, personal items, or treatment of unrelated conditions. For a complete list of what is included and excluded in your specific treatment package, please refer to your written quote and Terms & Conditions.
Respect and Dignity
- While at Kinvara Private Hospital you can expect to be treated with courtesy and have your ethnic, cultural and religious practices and beliefs respected.
- Your spiritual beliefs will be acknowledged in your care.
- Your care will be delivered in a clean and safe environment.
Privacy and Confidentiality
- Your personal details will be kept strictly confidential. Your information may sometimes be shared with other healthcare professionals involved in your treatment when necessary for your care or when required by law.
- Under the Freedom of Information legislation you are entitled to see and obtain a copy of your medical records.
- You are entitled to reasonable privacy during your stay at Kinvara Private Hospital.
Care and Support
Nurses and allied health professionals provide vital care and support and are an important part of your treatment. Staff who attend you should always identify themselves and you should feel confident to discuss any issues in relation to your treatment or hospital experience with them.
We can provide information about visiting arrangements for your family and friends while you are in hospital.
Treatment Expectations
While our Consultants strive to deliver the best possible results, specific treatment outcomes cannot be guaranteed. Individual results may vary depending on factors such as your general health, healing capacity, compliance with post-operative instructions, and lifestyle factors. Your Consultant will discuss realistic expectations during your consultation.
Participation in Your Care
- Before you leave, you will receive comprehensive information about your continuing care needs. Post-operative care at Kinvara Private Hospital is included for up to 6 months following your treatment, provided it is clinically necessary and you comply with all post-operative instructions.
- You are entitled to participate in the decisions about medical investigations and treatments, and you have the right to refuse or discontinue your treatment.
Your Responsibilities as a Patient
Providing Accurate Information
To help Consultants and hospital staff provide you with appropriate care, you will need to provide information such as medical history, allergies and any other treatment you are receiving or medication you are taking (even if not prescribed).
The more information we have, the better we will be able to assess and treat your condition.
Consideration for Others
You should be polite to all Kinvara staff that you encounter, other patients and their families, and treat them with courtesy and respect.
Compliance and Cooperation
- Please let us know if you do not understand any aspect of the information we give you.
- We ask that you comply with the agreed upon care.
- Please follow the hospital's Health and Safety policies.
- When requested, please provide accurate and up-to-date private health insurance information.
Treatment Cancellation
In certain circumstances, we may need to cancel or postpone your consultation or treatment. This may occur due to:
- Payment or administrative issues
- Clinical or medical safety concerns
- Operational reasons (equipment failure, staff illness, emergencies)
- Behavioural concerns
We will provide as much notice as possible and work with you to reschedule when appropriate. Refund policies vary depending on the reason for cancellation.
